Fluent Minds EDU (“we,” “us,” or “our”) is committed to protecting the privacy of our students and their families. This Privacy Policy explains what information we collect, how we use it, and your rights regarding your personal data. Because our services are designed for students in grades 6–12, we take the privacy of minors especially seriously.
1. Information We Collect
From parents and guardians (at enrollment):
- Parent/guardian full name, email address, and phone number
- Student name, grade level, and age
- Payment information (processed securely by our payment provider — we do not store card details)
- Placement test responses
From students (during course participation):
- Written assignments submitted through the student portal
- Participation in live Zoom sessions (video/audio where the student chooses to enable them)
- Progress and assessment data within our course platform (LearnDash)
Automatically collected:
- Basic website usage data (pages visited, time on site) via analytics tools
- IP address and browser type for security and performance purposes
- WordPress login session cookies for the student portal
2. How We Use Your Information
We use collected information solely to:
- Deliver, manage, and improve our educational services
- Communicate with parents/guardians about enrollment, scheduling, and student progress
- Process tuition payments and manage billing
- Provide instructors with the context needed to deliver personalised feedback
- Comply with applicable legal obligations
We do not use student data for advertising, profiling, or any purpose unrelated to the educational service.
3. Children’s Privacy (COPPA)
- Enrollment for students under 13 is completed by a parent or guardian only
- We do not knowingly collect personal information directly from children under 13 without verified parental consent
- Parents may review, request deletion of, or refuse further collection of their child’s personal information at any time by contacting us at admin@fluentmindsedu.com
- If we discover we have collected data from a child under 13 without proper consent, we will delete it promptly
4. Session Recordings
Live class sessions are recorded for educational purposes so students can review lessons and catch up on missed classes. Recordings are:
- Stored securely and accessible only to enrolled students and Fluent Minds instructors
- Not shared publicly or used for marketing without explicit written consent from the enrolling parent/guardian
- Retained for the duration of the enrollment period plus after the course ends
By enrolling, parents consent to their child’s participation in recorded sessions. If you wish to opt out of video participation, your child may join Zoom sessions with their camera off at any time.
5. Third-Party Services
We use the following third-party services to deliver our program. Each maintains its own privacy policy:
- Zoom — live class delivery zoom.us/privacy
- Google Forms — placement test policies.google.com/privacy
- LearnDash — student portal and course management
- Stripe — secure payment processing
- WordPress / Web Hosting — website and portal infrastructure
We do not sell or share student data with any third party for marketing or advertising purposes.
6. Data Retention
We retain personal data for as long as necessary to provide our services and comply with legal obligations:
- Enrollment and billing records: retained for for tax and legal purposes
- Student work and progress data: retained for the duration of enrollment
- Session recordings: retained after course completion
- Website analytics: retained in anonymised form indefinitely
You may request earlier deletion of personal data by contacting us, subject to legal retention requirements.
7. Your Rights
As a parent, guardian, or adult student, you have the right to:
- Access: Request a copy of the personal data we hold about you or your child
- Correction: Ask us to correct inaccurate or incomplete information
- Deletion: Request deletion of personal data (subject to legal obligations)
- Withdrawal of consent: Withdraw consent for data collection or processing at any time
- Portability: Request your data in a portable format where technically feasible

However, no online system is completely secure. We encourage parents to use strong, unique passwords and to contact us immediately if they suspect a security issue.

Continued use of our services after changes are posted constitutes your acceptance of the revised policy.
