Terms of Service

Please read these Terms of Service carefully before enrolling in any Fluent Minds EDU course. By enrolling or allowing your child to participate, you agree to be bound by these terms.

1. About Fluent Minds EDU

Fluent Minds EDU (“we,” “us,” or “our”) is an online educational service providing live, teacher-led English instruction for students in grades 6–12. Our services are delivered through our website at fluentmindsedu.com and via third-party platforms including Zoom.

2. Eligibility & Parental Consent

Our courses are designed for students aged 11–18. All students under the age of 18 must be enrolled by a parent or legal guardian. By completing enrollment, the enrolling parent or guardian:

• Confirms they have the authority to enroll the student and agree to these terms on their behalf
• Consents to their child participating in live online classes via Zoom
• Consents to class sessions being recorded for educational review purposes
• Accepts responsibility for ensuring the student has access to the required technology

We do not knowingly enroll students under the age of 11 without direct parental involvement. If you believe a child under 11 has been enrolled without proper consent, please contact us immediately at admin@fluentmindsedu.com.

3. Enrollment & Account

Enrollment is complete once payment is received and an account is created in the Fluent Minds student portal. You are responsible for maintaining the confidentiality of your login credentials and for all activity under your account. Please notify us immediately if you suspect unauthorised account access.

Each enrollment is for a single student. Course access and materials may not be shared with or transferred to another person.

4. Course Access & Delivery

Upon successful enrollment:

• Students gain access to the student portal, live class schedule, and course materials
• Live classes are held twice per week via Zoom at scheduled times
• Session recordings are posted in the student portal within 24 hours of each class
• Weekly office hours are available as an optional supplement to live instruction

Course materials, prompts, recordings, and written feedback are provided for enrolled students’ personal educational use only and remain the intellectual property of Fluent Minds EDU.

5. Tuition & Payment

Current course pricing is listed on our Tuition page. Prices are in USD and subject to change. Changes will not affect confirmed enrollments already in progress.

• Full Year Courses ($1,250/year): May be paid in full or via monthly installment plan
• Book Studies ($50/book): Paid in full at the time of enrollment
• All payments are processed securely through our payment provider
• By enrolling, you authorise Fluent Minds EDU to charge the agreed tuition amount

If you are on a monthly installment plan and a payment fails, we will attempt to contact you. Continued failure to pay may result in suspension of course access until the outstanding balance is resolved.

6. Refund Policy

We want every family to feel confident enrolling with Fluent Minds EDU. Our refund policy is as follows:

• After 7 days: Requests are handled on a case-by-case basis. We will work with you to find a fair resolution, which may include a course transfer, account credit, or partial refund depending on the circumstances
• Book Studies: Non-refundable once digital course materials have been accessed

7. Student Conduct

We are committed to providing a safe and respectful learning environment for all students. Students are expected to:

• Treat instructors and classmates with respect during live sessions
• Refrain from disruptive, offensive, or harmful behaviour in class or on the portal
• Not record, screenshot, or distribute class sessions or materials without permission
• Submit their own work — academic dishonesty is not tolerated

Fluent Minds EDU reserves the right to remove a student from a course without refund in cases of serious or repeated misconduct. We will contact the enrolling parent or guardian before taking action wherever possible.

8. Missed Classes & Attendance

Live attendance is strongly encouraged as real-time instruction is a core part of the program. If a student misses a class:

• The full session recording will be available in the student portal within 24 hours
• All materials, slides, and assignments remain accessible in the portal
• Fluent Minds EDU does not offer individual make-up sessions for missed live classes

9. Intellectual Property

All content on fluentmindsedu.com and within the student portal — including course materials, lesson recordings, curriculum frameworks, writing prompts, and the Fluent Minds name and logo — is owned by or licensed to Fluent Minds EDU and protected by applicable intellectual property laws.

You may not copy, reproduce, distribute, sell, or create derivative works from any of our content without prior written consent. Enrolled students may download materials for their own personal educational use only.

10. Limitation of Liability

To the maximum extent permitted by law, Fluent Minds EDU shall not be liable for any indirect, incidental, or consequential damages arising from your use of our services, including but not limited to loss of data, technical disruptions, or failure to achieve academic outcomes. Our total liability to you shall not exceed the total tuition paid by you in the 12 months preceding the claim.

11. Modifications to Services

We reserve the right to modify course schedules, content, pricing, or platform tools with reasonable notice. If a change materially affects an active enrollment, we will contact the enrolling parent or guardian and offer a resolution, which may include a refund or credit.

12. Governing Law

These terms are governed by the laws of the State of Texas. Any disputes arising from these terms shall be resolved through good-faith negotiation first, and if unresolved, through binding arbitration or the appropriate courts in Harris County, Texas

13. Changes to These Terms

We may update these terms from time to time. We will notify enrolled families of material changes by email. Continued use of our services after changes are posted constitutes your acceptance of the revised terms.
